no permit or company name is sent to us. Nothing is stored unless you fill in the
email form after the result, and that is entirely optional.

What changes on 1 October 2026
From 1 October 2026, permitted and licensed sites in England and Wales
that receive waste have to record it digitally. Northern Ireland and Scotland
follow on 1 January 2027.
Each load is due within two working days of the day after it arrives.
Monday morning's load is due by Wednesday night.
Two legal ways to send it: DEFRA's own spreadsheet, or software on DEFRA's published list.
You cannot use your own spreadsheet.
Paper does not stop. Transfer notes, consignment notes and Annex VII forms
carry on alongside the digital service.
Penalties are fines.
Register at waste-tracking.defra.gov.uk
using an organisation Government Gateway account, never a personal one.
That is the commonest mistake.
Carriers, brokers, dealers and exemption holders come in October 2027.

Straight answers about digital waste tracking
I only take waste from my own jobs. Am I still in?
If you hold a permit to receive waste, the duty sits with you as the receiving site,
whoever brought it. If you are unsure about your own permit, DEFRA's helpline is
03000 203 781, weekdays 8 to 5, and they will tell you for nothing.
Does the software send it to DEFRA for me?
Depends who you buy from. Some submit directly; others build DEFRA's spreadsheet and
you upload it, which takes a couple of minutes. Ask before you pay. It is a fair question
and any provider should answer it plainly.
How much should this cost?
Published prices at the small end run from free to about £99 a month, and the cheapest
tiers are usually a single login — check how many people at your yard need an account
before comparing. Full skip-hire operations platforms run £150 to £800 a month and do far
more than waste tracking. If all you need is to comply, you do not need one of those.

My permit was not found. What does that mean?
Only that it is not in the copy of the register held here. It does not mean you are
out of scope. The register is public and searchable at
environment.data.gov.uk.
